Cashiering Scenarios

There are several methods to use for cashiering and collecting from your guests. The different scenarios are detailed below. Please note that the overall timing of your event, staff and volunteer levels will determine the best method for cashiering and collections. These are basic examples and you may need to modify them to fit your event.

Scenario 1

Auction Runners cash out at the dinner table

Once the auction bid receipts are printed, a crew of auction runners will take the receipts directly to the guests at their dinner tables and process payments at once. Auction runners can also bring the appropriate item gift certificates to the guests at their tables. Merchandise items are picked up at the close of the event in a designated area upon presentation of a paid receipt.

This is the preferred method as it is much more personal and any problems that arise are resolved individually and quickly.

Scenario 2

Auction Runners present receipts only

Once the auction bid receipts are printed, a crew of auction runners will take a copy of the receipt to the guests at their tables. No payment is processed by the runners. Guests are instructed to bring this receipt to the cashiers in the lobby with payment. While guests are notified that the cashiers will not upon until later, some guests will want to cash out and pick up their items at once.

Upon payment, the guests proceed to another area to pick up the actual item and/or gift certificates.

Scenario 3

No notification or limited notification of winners

Once the auction bid receipts are printed, they are organized alphabetically by guest name and held at the cashier area. The cashier area should be organized with appropriate signs for guest last name A-L, M-Z, etc. etc.

A printed list of winners can be posted in the back of the dining room, in the lobby or other area for guests to check to see if they were the highest bidders on any item.

Upon payment, the guests proceed to another area with paid receipts to pick up the actual item and/or gift certificates.
