Silent Auction Bidding Systems
Specific Format for Auction Item and Guest list databases:
Two (2) 3/12" disks formatted for DOS operating system with the following information:
Auction item database in either a ASCII comma delimited, dBase III or Excel for Windows format with a field structure as follows:
Auction item numbers (numeric not to exceed 4 digits)
No duplicate numbers are acceptable
Each item must have a unique numeric item number
Eliminate and renumber any item with reference to item number A, B or C
(101A, 101B, 101C, etc)
Each individual item for sale must have a unique item number
If you have two or more of the exact same item, each item must have its own item number
Bid sheets must not make reference to 2 or more sets of the same item.
Use a separate bid sheet for each and every item, even if you have several sets of the same item.
Auction item description (alpha numeric not to exceed 100 characters)
Auction item estimated value (numeric not to exceed 15 digits)
Taxable status of auction items (T/F or Y/N logical field -1 character only)
Opening Bid Amount (numeric not to exceed 15 digits)
Minimum Bid Increment (numeric not to exceed 15 digits)
Donor Name (alpha numeric not to exceed 30 characters)
Sample correct and incorrect Excel formats are available upon request
Sample disks to be available for testing no later than one month prior to the event.
Auction/Event guest list in either an ASCII command delimited, dBase III, or Excel for Windows format with a field structure as follow:
Guest bid or Paddle Number (numeric not to exceed 3 digits)
Guest Name(s) (alpha numeric not to exceed 100 characters
Guest names should be prepared in a last name, comma first name and guest name format.
Indicate the full names of all guests
Guest Table number (numeric not to exceed 3 digits)
Guest company affiliation (if selling corporate tables to the event-- alpha numeric not to exceed 50 characters)
Sample disks to be available for testing no later than one month prior to the event
Printed lists:
3 copies of auction item listing
4 copies of auction guest listing including bid paddle number, husband and wives names, table number and corporate affiliation (if appropriate). 4 copies of the guest list should be sorted by table number and another 4 copies sorted alphabetically by guest last name
Preliminary test disks needed!
We will need a preliminary test desk of both the guest list and auction item lists to determine compatibility with our system. This test disk is for compatibility testing only and does not need to include real information. The database structures and format needs to be the same when actual data is submitted.
The preliminary disk should be available as soon as possible and can be emailed to:
Sample disks should be available for testing no later than one month prior to the event
Final disks should be available during the final days before your event. We realize that new one of kind auction items arrive daily and that guests RSVP up to the day before your event. Your final disk delivery date and time will be agreed upon in advance. Please do not deviate from this timetable!
