Live Auction Scenarios

A live auction can generate additional income for your organization. However, the live auction is simply that live. No bid sheets are used and the auctioneer will probably not remember who the various bidders are for each item.

A pre-printed auction receipt is used to record the final amount, name and table number of the winning bidder. A live auction recorder needs to stand adjacent to the auctioneer to write down the results of the live auction. The item number, the winner name, table number, bidder number and most important the amount of the bid

Experience has shown that everyone seems to forget this information until it comes time to pay. As live auction proceeds generate a substantial amount of money, not knowing or remembering the winner and correct amount is embarrassing and is cause for concern

In short, your organization and staff need to avoid the embarrassment of not managing the live auction bidding and collection processing.  This is  especially truly when the live auction is usually a high dollar value.

One or more auction recorders are recommended depending on the number of live auction items.

Live Auction Collections

Each live auction item has one and only one receipt. Take the unique receipt to the guest’s table

Write down the guest’s name, table number, bid number, telephone number and amount on the receipt

Live auctioneers are your high bidders. Handle them personally and professionally.
